Sorting object states with checkboxes

Hi All,

I need to find a way to simplify changing the state of multiple objects based on which checkboxes are selected. I've figured out how to do it using variables but it is VERY time consuming and not at all practical for future updates to the content (I'd have almost 25 of these slides...). I've attached my current work around. I was hoping someone could provide insight on how to simplify this process!

The general idea is that an organization's process is outlined and then the user can filter (grey out or bring to color) steps by the team(s) responsible for them. Originally I wanted there to just be a drop down with teams but it doesn't seem that is possible. You can see that some teams share processes (which is what makes it complicated). Step 9 is an example of this (hover over the team icons to see what team(s) is responsible for the step.)
