Reach 360: Managing multiple groups with internal charge back for use

Hi sania_singhania ! I met with my account representative and she demonstrated Reply 360 and answered our questions related to the roles and permissions. I believe the solution could work for us, but would have to run a pilot to test it out. I'm running into issues because we consolidated over 25 teams into one team subscription to minimize administrative burdens with all those renewals, but that now limits our ability to trial anything with the limitation of active learners for only one Team when we previously would have had 25 times the benefit. I was hoping to trial it for one year and then launch the paid version, but I'm still in the market for solutions. I have not heard back from any community members who are using Replay 360 in this manner.

Hey SandyMyers : So if i understand your problem correctly:
- You wanted to use Reach 360 for something that is outside the scope of your current company LMS that you are using. Now since there are 'several organisations', they will use a lot of your active learner seats. You wanted to charge them for using it, so that you can then use that money to replenish the number of active learner seats in Reach 360 once they cross the default number of 300. Not sure what you mean by using an internal process - do you mean within your company or within Articulate?
Now consider that you do this, and you end up charging them some X amount, and you use that amount to buy 1200 extra active learner seats in Reach 360 Pro, with $3,600 as mentioned on their pricing. But this is still annual. Would you be able to again replenish this once the 1200 seats are also exhausted before the annual period is even completed? I am considering a case where a lot of your active learner seats are quickly getting exhausted because you have 'several organisations' accessing the courses, it might be hypothetical but it is worth it to consider the possibility. - The alternative is a good idea, but it still restricts you to 300 active learners annually. Is that enough for the Team's needs? That is just 25 unique users per month.
We also wanted to buy two different Articulate 360 Teams subscriptions so that we have 300 active learners on EACH team, but again we face the same issue of administrative burdens. - I did not understand what you mean 'Any advice from large companies on how they are making best use of Reach 360 for learners that fall outside the scope of the company LMS?' Are your learners outside the scope of the company LMS, or there are some LMS needs of your learners that fall outside the scope of your LMS?
I am glad that Articulate was able to help you, but honestly this active learners limit is such a headache and we are facing a lot of problems in navigating through this.

- Yes, we have an internal LMS for employees, we are a state government. Many of our agencies serve residents and other constituent groups that are not part of the scope of our internal LMS. I was hoping to set up several of our agencies with capabilities to use the Reach360 active learners for some of the smaller needs. My goal in the pilot was to gain enough seats to pilot three agencies this year using the free active learner option so that I could have proof of concept to invest next year in purchasing enough active learner hours to supply the pilot group plus a conservative number brought in the following year. This would be an internal-company charge back for the active learner hours where I would charge the agency for their use over the year using some formula.
- The 300 active learner per team limit is my issue. I combined over 25 teams to streamline licensing administration which reduced my number of active learners 25-fold. I can't do the pilot on 300 active learners.
- Are there any large companies who are using Reach360 Pro and charging back their internal company groups for use? I'm trying to figure out a reasonable formula for calculating needed active learners and providing an estimate in advance for groups--X dollars per active learner used.
I concur with the difficulty navigating the active learners limit. I thought I was improving customer service to my agencies and 25 teams in my company by combining them all under one subscription. But doing it has now eliminated the opportunity to use Reach360 for each team under my combined subscription.
