Storyline: Transfer of source file
Hi,
I will be receiving the source file (.story) from one of our vendors to sell us the property of a course. the goal is to keep it inhouse and be able to modify it as needed.
Can you please advise what are the main considerations to keep in mind on how to transfer source files for authoring from a vendor machine to a my local machine (ex: tool version, file content...). I want to ensure that I will be able to add it to my storyline and edit it.
I would appreciate if you could point me to documentation, resources, elearning commnity where I can learn more.
Thank you very much.

The .story file is the main thing. We tend to provide the font package as well if we used not standard fonts.

"Are you looking to transfer a source file within Articulate Storyline? If so, you can manually copy the .story file or use a shared drive for collaboration. If it's about assets, ensure all linked media are included. Are you facing any specific transfer issues?

We have completed several rescue projects where customers have lost .story files.
I would advise ensure that you have 'everything'. The .story file would only be the start. Ensure that your have all of the assets that have been used to create the file:
Audio Files
Graphics files (source, not the jpeg or PNG) - get the Adobe files or similar
Script files (google or word docs)
Animation files (again the course files)
.story file
I'd use the 3-2-1 rule for your backups as well:
- 3 – Keep at least three copies of your data
(1 primary copy + 2 backups) - 2 – Store the copies on two different types of storage media
(e.g., internal hard drive + external hard drive or cloud) - 1 – Keep one copy offsite
(e.g., cloud storage, remote server, or physical offsite location)
I wrote a while ago about what happens if you lose your storyline files and what you can do

Thank you Scott for your reply, this is very helpful.
So I will ask the vendor to confirm that he will share any assets as well.
One more question please, can you please how those assets should be shared? Should they be shared in different files? in addition to the .story file.?Thank you

No problem.
They will be different formats:
the Articulate Storyline file will be .story.
I expect that the developer has used other software tools to create the course. I'd ask for all of the files that he was used to create the course - you need the original files (referred to as the source files).
For example if you have graphics files, you won't be able to easily edit a png or jpg file. You'll need the original file used to create them. Probably something in Adobe Creative Cloud, or something similar.
You might not change them, but if you want to change them or want to localise the course in the future you want all of these files.
You can transfer via DropBox, WeTransfer, Google Drive.
I'd ask IT within your organisation what is the file transfer that you are allowed to use.
I'd get someone to check all the files and to ensure that you have the latest files and that they all work.

As Ron said, the .story file is the main source. If you have an active subscription to Storyline, you should be able to open that file. As per Articulate guidelines, the file should be on your local drive when you work on it. However, it's a good idea to back it up elsewhere.
You could also ask the vendor to give you any graphics and media files used in the course, if you think they might need to be edited.
FYI: There are User Guides for all aspects of Articulate 360: Articulate User Guides | Articulate - Community

Could you clarify what kind of source file you're transferring and the method you're using? Are you encountering errors or looking for the best way to transfer it?

Hi Ben, thank you for your quick reply.
I will be receiving a .story file from our vendor (we will acutally be buying it from him to transfer the ownership of the course to us). Not sure yet how he will transfer it to us (via cloud or drive). In order to ensure I can edit and use the course, I would like to know if you have a documentation or a resource where I can learn more on what to consider from our end.
Also, Once I receive the file, can you please confirm :
- I can copy it as new project?
- That all content will be unlocked for use? (expect videos or embedded links of course)
- If I am not able to make edits, can I reach out to atriculate support to seek help
Thank you very much.
