eLearning LMS Content Review - When and How

Does anyone have any guidelines or Best Practices when it comes to when and how to engage in ongoing eLearning LMS content review? Once a course gets deployed, when is the best schedule to utilize to ensure the content stays current? How do others handle this in a large organization with 3 LMS applications? We do not have a content review process and I need to create one, and I could use some help from others who handle this activity.

      We have two separate instances of HealthStream and the 3rd is SuccessFactors. The 3 applications are a result of acquisitions. We need to ask our facilities and clinical staff to review courses in the LMS mainly because they are not ones we have created. We are mainly wanting to review content to determine if it can be retired, should be replaced with a different course, or needs to be submitted for clinical/business review and updated. It is not a process the organization currently undertakes. It is something we need to implement so we can prepare for a future transition as an organization to a single LMS platform.

    Short answer: It depends. 😁

    Longer answer: Things to consider include the type of content, the number of courses, and the resources available for reviewing. 

    For example, a course with general content that's unlikely to require big changes (e.g., compliance sexual-harassment training) doesn't need to be reviewed as often as software training, which might need to be updated every time the software is. 

    And you don't want to overwhelm reviewers with a bunch of courses that all have to be reviewed within the same short timeframe. 

    The course "owner," e.g., main SME assigned to the course or even the stakeholder, should be responsible for ensuring their course(s) are reviewed at the specified intervals. Ideally, reviewing should be considered an important part of their job, not just another unthanked task. 

    Review intervals should be based on the type of content, and they should also be spread out. For example, some courses might require an annual review, but some of those could be set for Q1, some for Q2, etc. Be sure to include the stakeholders/SMEs when setting the intervals.
