source of documents embedded in SL

Aug 09, 2022

Hi everyone,

I have a question for those who want to share some ideas based on their best practice.

I was wondering if you can advise me about what should be the best source of documents we embed in SL?

In other words:

What should be a better option: to have the source documents on SharePoint, One Drive or on My Documents hard drive.

In my team we use SharePoint to share the documents within the elearning team. However, there is always a risk that someone does a mistake and changes the original source of a document and we might not notice this. And we already have developed some eLearning modules that have embedded documents of all kind (mp4, pdf, word).

The easiest way seems to be via SharePoint, but I'm not very confident with this one, that's why the question.

Hi Irina,

Your inquiry is in good hands, and I'm sure a member of our talented community will have some suggestions to share with you!

In the mean time, if you're interested in linking your resources in the course player directly to one of your slides, here's a helpful article which explains how this can be done:

Hope this helps!

When you publish, SL loads the document, and makes it a permanent static part of the published package. It will then be available through the Resources tab. Or if you want the learner to access it clicking on a link on the slide, follow the above mentioned article. So wherever you send the published content, the resource file is part of it. You will be happier, then if the document is on your local hard drive.

If you are using the document as a web object, it's a different story. A web object is a file that is external to your published content. It is useful if the original content is not under your control, or if you want to change the content without having to republish the course. To use a file as a web object, it has to be available over a network (usually the internet) to the learner. In that case, you neither can nor should want to use a local drive. Probably SharePoint is your best option, but the learner must have access to the file.
