We're thrilled to announce that the Team Folders beta is now live in Rise 360! With it comes an enhanced dashboard experience, convenient personal organization in My View, and even more ways to collaborate with your team (as well as external teams).
Updated Dashboard
The new Rise 360 dashboard sidebar organizes content into sections: My View, Personal, Team, Deleted Items, and External Connections (if you're working with external teams).
Courses you've created alone—without any collaborators—appear in the Personal section, and courses you’re building with other collaborators appear in the Team section. When you add a collaborator to a training item, it moves into the main Team section automatically. Only collaborators on the item can see it there, so don’t worry about others accessing it.
You can create folders and subfolders in each section. And now, when you move something to a folder, it's only visible in that folder!
My View
With My View, keeping track of items you're currently working on is a snap. You can add specific items for easy access and create folders in the My View section to help organize things further. Content and folders in the My View section display only for you but can contain both personal and team items.
For the launch of the Team Folders beta, we've preserved your previous All Content view in this section. All the training items and folders that were there prior to today's launch have been added for you. This way, you can easily reference your previous view. Clicking an item in My View takes you directly to it.
Update 10/5: Now, you can move the original item without having to leave My View. Just click the more icon and select Move file. Select a location or create a new folder, then click Move.
Personal and Team Folders
With Team Folders, content created in Rise 360 is added to the section or folder you're currently in. If you're in the personal section, your training appears there. If you're in the team section, it's created there.
Collaborators can now be assigned at the folder level, saving you time. When you create content in a team folder, it automatically inherits the collaborator permissions applied to that folder. This can even be everyone on your team! All you have to do is select the Share menu option for a folder or item, then select Everyone and assign them collaborator status. Note that the current editor role is the same as the previous collaborator role.
External Connections
If you work with other teams in Rise 360, you'll see new team folders for them as well in the External Connections section. The folder names might be different from what you're used to seeing. That's because Rise 360 now uses the actual name of the organization as it’s listed in account management. This is true for your team as well. An Articulate 360 admin for the external team can modify it with the Edit Organization Name option in account management.
All Rise 360 users have access to the enhanced dashboard and My View feature. If you’re an Articulate 360 Teams subscriber, you also have access to the new Team section. And if you don’t have Articulate 360 but want to try out this feature, you can start a free 30-day trial.
We're excited about the Team Folders feature because it'll allow teams to work together even more easily. And we're releasing it in beta so your feedback can guide us as we continue to develop it. Hello, With the update, two of my courses were put in an "Archive" Folder. How can I move them out to my "My View". Thanks in advance.
Hi Patty!
Rise 360 doesn't have an archive folder by default, so perhaps you created this "Archived" folder yourself? The only folder you should see for removed content is a Deleted folder.
Try clicking Move to move the course to another folder. Then, that content should appear in that folder under the My View section.

Hi! It looks like I can share a Team folder with a group within our subscription (we have several groups throughout the company). It says enter Name, Email, or Group, but I'm not able to add a group. I can only choose individuals or everyone. Is this a feature that will be coming? This would be great for us!
Hi Karen! Thanks for reaching out. Currently the Everyone group is the only one available, but we're exploring how to incorporate groups defined elsewhere as well.
You are able to add a set of users to a top level team folder and then all nested folders and courses added underneath will automatically receive those permissions when created or moved into the folder.

Greetings! Is there a way to select multiple courses at one time to move into a folder? We have a lot of courses that we need to move into each folder we'll create and it would be awesome to have a multi select feature so we don't have to select each folder individually to move them?
This update is so confusing. I had everything well organized and now it all seems to have broken. Can we get an option to have the old view back?

Multiselect isn't available yet, but is on the teams radar as one of the next things we're working on implementing. We'll post an announcement here once that is ready!

This feature is a game changer (my feeling) - my question is as this is a BETA version will everything remain the same once you launch the actual release? In other words if I set our Team folder up now I'm assuming it will stay the same :-)
Is there any way to get a view of all courses similar to what was? I can't seem to find it. My View is not accomplishing the task.
And I still can't see a tangible benefit of courses auto moving behind the scenes to different folders if additional collaborators are assigned. I have folders by project, that I started solo and it's moving things out of them when I assign someone else. Things aren't together anymore.
EDIT: Nevermind, figured out how to work around it.
Is there a way to create subfolders within a Team folder? From a large organizational perspective, we are trying to have subfolders for my team.

Yes it's possible.
Click on the Team folder.
Click on the three dots on the right.
Click New folder.

These new features are a great step forward! Looking forward for more.
Another goal could be in the near future to have features which are reducing administrating time regarding managing the own/team contents. For example:
- bulk managing courses/folders
- bulk moving items,
- sharing items with multiple users or "user groups" at the same time
- creating different user groups
- nice to have: drag&drop features

We'll be looking to continue to add additional functionality based on everyone's feedback, but the Team folders you set up now will stay the same and be available to you after the BETA.
Is there currently a way to sort the courses by who authored them? So if I wanted to only see the courses in the Teams view by teammate "Heather Smith"? If not, that would be an appreciated addition to the next roll-out!
100% agree. A bulk action feature to move courses to folders would be very useful. we have 100s or courses that need re-organising now

I've been trying to navigate the new features and, like some others, I'm encountering organizational challenges. Specifically, I noticed that within the "Team" section, there isn't a pre-existing folder structure like there is in "My View" or "Private." Why is this the case?
Furthermore, Crystal your response to Alejandra mentioned working from "My View" to create a new "Team" folder structure. I'm a bit confused by this. Shouldn't a "Team" folder structure be established within the "Team" section itself? The statement "You can work from My View to create a new Team folder structure that will be consistent for your team. Meaning, there will be one Team folder structure, and individuals will not have to recreate the folders on their own dashboards." is a bit unclear to me. Could someone provide further clarification on this?
I want to highlight a point Randall Hopkins made about the confusion of moving courses based on having collaborators or not. I think this approach is less intuitive. While Karl's suggestion to use 'My View' offers a solution, it feels like an extra step that wasn't there before. In other shared work tools, like MS SharePoint, the organization is more straightforward, and a file doesn't move just because i share it with someone.
From what I've gathered, if you share a folder with someone, they automatically have at least editor permissions. In the Question Banks, there's a 'Viewer' role who can only view content. I believe a similar role would be beneficial for courses as well. Having a 'Viewer' role for courses would allow us to share content with team members without giving them editing capabilities. Since we currently don't have features like locking courses to prevent changes or a Rise version control, introducing a 'Viewer' role could be a step in the right direction to ensure content integrity. Is this something that could be considered for future updates?
